Privacy Policy

This Privacy Policy describes how TAMEC Care Staffing ("TAMEC", "we", "our", or "us") collects, uses, stores, and protects personal information in connection with the TAMEC Staff mobile application (the "App"). The App is provided exclusively to employees and contracted staff of TAMEC Care Staffing for the purpose of managing work schedules, recording attendance, and coordinating shift operations.

1. Who this policy applies to

This policy applies only to individuals who have been issued a staff account by TAMEC and who use the App in the course of their employment or contract with TAMEC. The App is not intended for use by the general public.

2. Information we collect

a. Account information

  • Full name, email address, phone number, home address (as provided during onboarding)
  • Employment role, hire date, and assigned client locations
  • Encrypted password hash (never the plain-text password)

b. Location data

  • Precise location (foreground and background): The App uses your device's GPS to determine whether you are within 50 metres of the client's registered address during your scheduled shift. This is used to (1) prompt you to clock in when you arrive at the client location, and (2) automatically clock you out if you leave the client location while a shift is in progress.
  • Background location access is required because shifts can last several hours and the App must continue monitoring proximity even when the App is not in the foreground. Without background location, auto clock-out on leaving the premises would not function, which is a core feature of the App.
  • Location data is only actively used while a shift is scheduled or in progress. Outside of an active shift window, the App does not track or store your location.

c. Device and session information

  • Device model, operating system version, and app version (for support and diagnostics)
  • Authentication tokens stored in the device's secure keystore (for biometric re-login)
  • Push notification token (for shift reminders and notifications)

d. Biometric data

The App supports fingerprint and Face ID sign-in as a convenience. Biometric verification is performed entirely on your device by the operating system. TAMEC never receives, stores, or has access to your fingerprint or face template. We only receive a confirmation from the operating system that authentication succeeded.

e. Shift and work activity

  • Clock-in and clock-out timestamps and associated coordinates
  • Completion status of assigned shifts
  • Digital signatures on staff agreements (where applicable)

3. How we use this information

  • Scheduling: to display your assigned shifts and upcoming bookings
  • Attendance tracking: to verify and record the times you started and ended each shift
  • Payroll: to calculate hours worked and generate pay records
  • Compliance: to maintain records required by healthcare staffing regulations
  • Account security: to authenticate your session and detect unauthorised access
  • Communication: to send you shift reminders, assignment updates, and administrative notices

We do not use your data for advertising, behavioural profiling, or any purpose unrelated to your role as a TAMEC staff member. We do not sell or rent your personal information to third parties.

4. How your data is shared

We share data only in the following limited circumstances:

  • With authorised TAMEC administrators and payroll personnel, for scheduling and compensation
  • With our email delivery provider (e.g. SMTP relay), for sending notifications to your email address
  • With our push notification provider (Expo Application Services), which handles the delivery of notifications to your device
  • When required by law, regulation, legal process, or enforceable governmental request

5. Data storage and security

  • All data is transmitted over HTTPS using TLS encryption
  • Server data is hosted on secured infrastructure with restricted administrator access
  • Passwords are stored only as salted hashes, never in plain text
  • Authentication tokens on your device are kept in the OS-provided secure keystore (Keychain on iOS, Keystore on Android)
  • Location data is transmitted only when a clock-in or clock-out event is recorded; we do not stream continuous location to our servers

6. Data retention

Shift records and attendance logs are retained for as long as required by applicable employment and tax regulations (typically seven years). Account information is retained while your account is active and for a reasonable period thereafter for legal and operational purposes. You may request earlier deletion by contacting us (see section 9).

7. Your rights

  • Access: you can request a copy of the personal information we hold about you
  • Correction: you can ask us to correct inaccurate information
  • Deletion: you can request deletion of your account and associated data, subject to legal retention requirements
  • Withdraw consent: you can disable location permissions and biometric sign-in at any time from your device settings, though doing so will limit or disable related App features

8. Children's privacy

The App is intended for adult TAMEC employees and contractors only. We do not knowingly collect information from children under the age of 18.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated through the App or by email prior to taking effect. Your continued use of the App after an update constitutes acceptance of the revised policy.
